[RFP] Design, Construction, Supervision, and Operation Services for the JAPAN Booth at PAX West 2026

GENERAL INFORMATION

1.      Subject: Design, Construction, Supervision, and Operation Services for the JAPAN Booth at PAX West 2026

2.      Term of Contract: From the contract start date to October 15, 2026

3.      Closing Date for Application: 3:00 PM (PDT) on July 7, 2026

4.      Content of Contract: As indicated in Specification (Attachment 1)

 

INSTRUCTIONS TO APPLICANTS

1.     Qualification Requirement

Applicants must NOT be under suspension or disqualification from participation in procurement processes by JETRO or the Ministry of Economy, Trade and Industry (METI) due to unethical and/or unlawful activities in past procurements.

Applicants are also required to:

・  Have proven experience in event construction and management

・  Be capable of providing integrated services from design to construction and operation

・  Be located in the Seattle, Washington area (for construction works)

・  Have a U.S. legal entity capable of contracting with JETRO San Francisco and receiving payment in the United States

・  Demonstrate sufficient understanding of JETRO’s business objectives

2.     Preparation of Application

Applications submitted orally, by telephone, or by facsimile will not be accepted.

All costs of preparation and submission shall be borne by the applicants.

 

3.    Scope of Work

As indicated in the Specification (Attachment 1)

 

4.    Payment

No advance payment will be made in principle. Payment will be made within 40 days after completion of the services and submission and approval of the final report, based on the contractor’s invoice.
Payment shall be made via bank transfer to the account designated by the contractor.
All costs, including transportation and communication expenses, must be included in the contract amount. No additional payments will be made.

 

5.    Delivery of Application
All application and proposal documents (see below) shall be sent to the following email address by 3:00 PM (PDT) on July 7, 2026.

Required to submit:

• Application form
• Booth design proposal (including layout drawings and equipment plan)
• Design proposals for each demo booth
• Quotation (in USD, including all applicable costs)
• Project schedule

6.   Language of Application
Applications may be submitted in Japanese or English

7.   Evaluation of Application
Screening of Application documents and online meetings conducted by JETRO San Francisco

8.   Announcement of Tender
The results of the tender will be announced to all bidders by email.

Given the nature of the selection process, JETRO will refrain from providing individual feedback on the evaluation results.
